Managing and reporting your research grant
Stay on track with your research grant by keeping up to date with reporting, updates and any required changes. This section outlines everything you need to manage your funding and meet your responsibilities throughout your project

Six months from your agreed start time in your award letter, you are required to provide six-monthly updates for the Impact team to support with progress and provide updates with Charity Trustees and the Research Programme committee.
A template form is available for six-monthly updates from your Grants Officer. We also accept documents produced for other purposes/organisations which provide updates, updates provided via email, or a phone/Teams call with a Grants Officer.
Depending on the length of your project, you are also required to complete a more in-depth annual or end of grant report
Please review your award letter to find out your unique reporting deadlines, and your Grants Officer will also be contacting you for these updates/report. Please contact your Grants Officer/ bwc.bchcharities@nhs.net for a copy of your award letter and the deadlines.
Please contact the charity if you wish to request: change of start date above three months, no-cost extension & change of end date, reporting extension, change to project (title, plan, investigation, supplier), change to project budget (transfer between budget lines), change to funded personnel, cost extension, and/or project withdrawal.
Changes of start dates will move your required reporting dates accordingly.
Complete a request for a requisition, invoice or expense payment on our Impact Portal, using your grant number.
When you are successfully awarded a BWCHC research grant and agree to the terms and conditions of the grant, you are required to provide regular progress reports, support expenditure, and report any changes immediately. Please get in touch at impact@bwc.org.uk for all queries.
Depending on the value and complexity of your grant, you are required to provide updates for the Impact team to support with progress and provide updates with Charity Trustees and the Research Programme committee. They may be quarterly or six-monthly (between annual reports if applicable). The due dates are laid out in your Award Letter, but may be moved if the grant start and end dates change.
Your Grants Officer will be in touch a few weeks before the report due date with a template form. An online monitoring form is being developed soon which will be sent to you before the due date.

These reports are reviewed on a quarterly basis by our Research Programme committee and you will receive feedback, and will be used for decision-making for grant change requests and future applications. The due dates are laid out in your Award Letter, but may be moved if the grant start and end dates change.

You will receive confirmation if your request has been approved, further information required or rejected.
Complete a request for a requisition, invoice or expense payment on our Impact Portal, using your grant number and selecting ‘Submit Payments’.
Most research grants are either accessed by creating one Purchase Order (PO) for the full cost of the grant, to be payable to the host Trust or University, who provide access to spend the money on staff salaries or consumables. Alternatively. multiple POs can be created to pay for different consumables/publication costs etc from different companies, and/or expenses to be reimbursed for conference travel, public focus group costs etc.
Our preferred invoice method is quarterly invoices from the host institution covering costs from the quarter before.
Please ensure all quotes and invoices are addressed to: Birmingham Women’s & Children’s Hospital Charity, 5 Rowchester Court, Whittall Street, Birmingham, B4 6DH. We cannot accept any quotes or invoices which are addressed to Birmingham Women’s & Children’s NHS Trust, as they are a different company.
